This policy explains what information TruckGuard AI ("we," "us") collects when you use our platform, website, and mobile applications (the "Service"), how we use it, and the choices you have. It applies to fleet administrators, dispatchers, mechanics, and drivers. By using the Service you agree to this policy and our Terms of Service.
Account information— name, email address, phone number, role, company details (DOT/MC numbers, address), and, for drivers, commercial driver's license number and expiry date.
Inspection and fleet data — inspection results, notes, defect reports, repair tickets, vehicle details (VIN, plate, mileage), documents you upload, and electronic signatures.
Photos — pictures of vehicles, components, and documents that you take or upload.
Location data — when a driver performs an inspection and grants permission, we record the GPS coordinates and timestamp of the inspection. We do not track location continuously or in the background.
Technical data — device and browser type, IP address, and usage logs needed to operate and secure the Service. We use session cookies to keep you signed in.
We use your information to: provide and operate the Service; create the compliance records you ask us to keep (inspections, signatures, GPS-stamped reports); analyze inspection photos with artificial intelligence to help flag potential defects; send service notifications and, with your permission, push notifications; process payments; provide support; secure and improve the Service; and comply with law.
We do not sell your personal information, and we do not use your data to advertise to you.
Inspection and document photos may be processed by third-party AI providers (currently Anthropic) to generate defect analysis and text extraction. Photos are sent for analysis only, are associated with your inspection record, and are not used by us to train AI models.
Your company.The Service is a fleet tool: inspection records, photos, GPS stamps, and driver details are visible to your company's administrators, dispatchers, and mechanics according to their roles.
Service providers that host and operate parts of the Service under contract — database hosting, payment processing (Stripe), email delivery, push-notification delivery, and AI analysis. They may use your data only to provide those services to us.
Legal requirements. We may disclose information if required by law, subpoena, or a government authority (including FMCSA/DOT audits directed at your company), or to protect the rights, safety, or property of TruckGuard, our users, or others.
Business transfers. If TruckGuard is acquired or merged, your information may transfer with the business under this same policy.
We retain your data while your account is active. Certain inspection and compliance records are retained for the periods required by regulation (for example, driver vehicle inspection reports and periodic inspection records under 49 CFR Part 396) even if individual items are deleted from view. After account closure, we delete or anonymize personal data within a reasonable period, except records we must keep for legal, dispute, or audit purposes.
We protect your data with encryption in transit (HTTPS/TLS), hashed passwords, role-based access controls, optional two-factor authentication, and vehicle-level access restrictions for driver accounts. No system is perfectly secure; please use a strong, unique password.
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to certain processing. You can update your profile in Settings, disable push notifications at any time in your device settings, and deny the location permission (inspections then record without GPS). To exercise other rights, contact us at the address below. Note that some records may be exempt from deletion while retention is required by law. Drivers: your employer is the controller of your fleet records — deletion requests for company records go through your company administrator.
The Service is for commercial use by adults and is not directed to anyone under 18.
We may update this policy from time to time. Material changes will be announced in the Service and reflected by a new version date at the top of this page.
